Job Summary

The Facilities and Warehouse Specialist will oversee daily warehouse operations, ensure inventory accuracy, and manage procurement activities. This role also includes maintaining office facilities, coordinating with vendors for maintenance services, and collaborating with IT headquarters to ensure proper installation and maintenance of IT equipment. Additionally, the specialist will implement safety protocols, develop standard operating procedures, and monitor key performance indicators.

Key Accountabilities

  • Oversee the daily operations of the warehouse, ensuring efficient and effective storage, retrieval, and distribution of goods.
  • Maintain inventory accuracy through regular audits and cycle counts.
  • Coordinate procurement activities, including sourcing, purchasing, and managing vendor relationships.
  • Ensure timely and cost-effective procurement of materials and supplies needed for warehouse operations.
  • Prepare transport documentation.
  • Implement and enforce safety and security protocols within the warehouse.
  • Develop and maintain standard operating procedures for warehouse activities.
  • Monitor and report on key performance indicators (KPIs) related to warehouse operations.
  • Ensure compliance with all relevant regulations and company policies.
  • Ensure the office is maintained in optimal condition, with all facilities well-kept and fully functional.
  • Coordinate with vendors to manage office maintenance services such as utilities, gardening and cleaning.
  • Enter purchase requisitions and purchase orders into the ERP system, and follow up on approvals and payments in coordination with finance to ensure timely processing.
  • Collaborate with the IT headquarters to ensure all IT equipment and systems are properly installed, maintained, and functioning.
  • Act as the local point of contact for IT-related issues, coordinating with the IT headquarters to resolve any technical problems.

Minimum Knowledge & Experience required for the position:

  • Degree in logistics, supply chain management, facilities management, or a related field.
  • At least 3 years of experience in warehouse operations, facilities management, or a similar role.
  • Experience in procurement and vendor management.
  • Familiarity with safety and security protocols in a warehouse setting.
  • Basic knowledge of IT systems and equipment.
  • Experience with the Microsoft Office Suite.
  • Familiarity with SAP ERP system is highly desirable.
