About the Position
The Business Assistant is the responsible for supporting the work of Division team on
projects directed at maximizing company profits and helping sales and marketing
strategies
Key Accountabilities
• Acting as a first point of contact: dealing with correspondence, mails and phone calls
• Managing diaries and organizing meetings and appointments
• Booking and arranging travel, transport and accommodation
• Organising events, conferences and sales meeting
• Reminding the manager/executive of important tasks and deadlines
• Typing, compiling and preparing reports, presentations and correspondence
• Managing databases and filing systems
• Implementing and maintaining procedures/administrative systems
• Liaising with staff, suppliers and clients
• Collating and filing expenses
• Commissions Controller
• Track invoices and manage expenses and budgets
• Ethic Code, contracts (proctos, etc)
• Transparency law
• Brochures monitoring and control
• Purchase orders and purchase requisitions
• Deal politely, professionally and effectively with people
• Active collaboration
• Analyze, research and resolve problems
• Updated contract database
• Maintain internal and external confidences, discretion
• Exercise good judgment in a variety of situations
Networking/Key relationships
This position requires the constant cooperation with the different internal departments
(Accounting, Communication and Image, It, …) as well as with the external division
suppliers (travel agency, Fenin, ….)
Minimum Knowledge & Experience required for the position:
- Education: Graduate with any degree discipline in business or related field.
- Experience:
Minimum three years’ experience in similar position.
Prior experience with digital communication tools.
